Church and Hall Venue Hire

We are pleased to offer our church and church hall for rentals.  Our goal is to serve local communities and to raise funds to care for our Grade II listed church.

Venue hire rates are per hour + Event Support Fees and any applicable taxes.

A minimum of 3 hours must be booked for one-off bookings. ​​

To qualify for a discounted rate you must be

  • a registered charity or not-for profit

  • a regular attending St Andrews Church member

  • a current tenant as of Oct 2025

Venue Hire Terms & Conditions

Event Support Fees

Please note that our Venue Hire Policies are currently under review and subject to change.

1.  One-Off Bookings vs Recurring Bookings*

 

One-Off Bookings

  • One-off rates apply to events that happen once such as a birthday or anniversary party or concert.

 

Recurring Bookings

  • Recurring rates apply to regular events, for a minimum of 2 terms or approximately 6 months and full week/full day camps.

For example: 

  • daily after school club or pre-school

  • weekly bridge club

  • monthly business meeting

  • 5 full-day summer camps

 

*Please note that we reserve the right to prioritize Recurring Bookings if there are two requests for the same date/time.

 

1. Eligibility for Discounted Rates

 

Discounted rates apply to:

  • Registered Charities (proof required)

  • Not-for-profit community organisations (proof of status required)

  • Church members

  • Current recurring tenants (as of October 2025)

2. Booking and Payment Terms

  • Booking Deposit

    • A deposit of 25–50% of the total hire fee is required to secure your date.

    • 25% for small meetings/light events

    • 50% for larger or higher-impact events (e.g., children’s parties with entertainers)

  • The deposit is refundable provided:

    • The hall is left tidy (if self-cleaning applies)

    • No damage occurs to the building, furniture, or equipment

    • The date is only held once the deposit has cleared.

  • Balance Payment

    • The remaining hire fee is due [7–14 days before your event].

    • Payments must be in cleared funds (bank transfer).

    • Bookings not fully paid on time may be cancelled, and the deposit may be retained.

  • Cancellation & Refunds

    • Deposits are forfeited if cancellation occurs within 30 days of the event.

    • Please allow 30 days from cancellation to process any refunds.

    • If the venue cancels, all fees paid (deposit + balance) are fully refunded.

3. Event Support Fees

Event support fees cover opening/closing, supervision, checks, and post-event cleaning. All events must be left tidy or a cleaning surcharge applies. Some events allow self-cleaning, while others include staff cleaning. Fees increase with the scale and complexity of the event.

  • Light Meetings and Parties (£40)

    • Max size:  up to 32 people (4 tables of 8)

    • Set-up / Tear down: Done by hirer; staff present

    • Decorations:  minimal

    • Kitchen/Food:  Drinks / light refreshments only; no cooking or large appliances

    • AV/Music:  No AV supplied; hirer may bring small personal devices

    • Cleaning: Minimal mess; self-clean allowed​

    • Example:  Small meetings, light children's parties (cake only)

  • Standard Meetings and Parties  (£65)

    • Max size:  up to 64 (8 tables of 8)

    • Set-up / Tear down: Done by hirer; staff present

    • Decorations:  minimal

    • Kitchen/Food:  Light food / snacks allowed; limited appliance use (microwave, kettle, fridge)

    • AV/Music:  No AV supplied; hirer may bring small personal devices

    • Cleaning: Moderate mess; staff cleaning included

    • Example: Typical children's parties, adult socials

  • Enhanced Events Parties (£90)

    • Max size:  up to 64 (8 tables of 8)

    • Set-up / Tear down: Done by hirer; staff present

    • Decorations:  minimal

    • Kitchen/Food:  Food may be prepared / served; larger appliances allowed (oven, hob, grill); hirer responsible for safe use

    • AV/Music:  No AV supplied; hirer may bring personal or rented devices

    • Cleaning: High-impact cleaning; staff cleaning included

    • Example:  Parties with entertainers, DJSs, music, dance, or high-energy activities

    • An event will be classified as enhanced if it includes any of the following:​

        • Entertainers or instructors​

        • Amplified music, DJ, or lighting

        • High-energy activities (i.e. dancing)

        • Significant food / catering beyond light refreshments

  • Evening and Weekend Managment Fee (opening/closing/supervision) may apply for:

    • Evenings (after 6 pm weekdays):  £20​

    • Weekends (Saturday & Sunday from 8 am-10 pm): £30

  • Additional charges may apply for:

    • Excess utilities (heating, water, electricity)

    • Waste removal

    • Excessive wear or misuse

 

4. Use of Premises

  • Minimum hire: 3 hrs one-off; 2 hrs recurring.

  • Peak rates apply Fridays–Sundays and public holidays:

    • Day +25% surcharge

    • Evening +40% surcharge (with a minimum 5 hour booking required)

  • Maximum occupancy applies (see posted signs).

  • No smoking, vaping, or unauthorized alcohol.

  • Respect neighbours regarding noise and parking.

  • All doors/windows secured on departure.

5. Insurance, Safety & Compliance

  • Insurance, risk assessments, and safeguarding documents required for groups/regular hirers.

  • External suppliers must provide proof of public liability insurance for our records.

  • Hirers must designate a responsible person for health & safety and conduct event risk assessments.

5. Temporary Event Notices (TEN's)

  • Our premises (St Andrews Church) is limited to 15 TENs per year (not to exceed 21 days).​

  • Up to 10 TENs per year are available for hirers, on a first come, first serve basis.

  • If the premisis has not used their limit, the hirer can apply for a TEN via the Brighton and Hove Council

    • The hirer must provide the venue with a copy of the TEN acknowledgement prior to the event.

    • The hirer must also make a copy of this acknowledgement visible at the event.

  • It is the responsibility of venue to track TEN usage and not exceed the per-year-limit.

  • Events that require a Temporary Event Notice

    • An event requires its own TEN if it involves alcohol sales* or public entertainment.

    • *Alcohol is considered “sold” if included in tickets, donations, or cover charges — even if handed out “free.”

6. Safeguarding

  • Compliance required with:

    • Children Acts 1989 & 2004

    • Vulnerable Groups Act 2006

    • Church safeguarding policies

  • Immediate reporting of incidents required.

  • PCC may terminate bookings on safeguarding breaches.

7. Property & Damage

  • Hirers responsible for their property; Church not liable for theft.

  • Report all damage promptly; costs recoverable from deposits or invoices.

8. Cancellation & Termination

  • Full refund if canceled 14+ days before event; 50% refund 7–13 days; none within 48 hrs (occasional hires).

  • PCC reserves right to cancel due to emergencies, unlawful activity, or unsuitable use, refunding fees only.

9. Equal Opportunities & Inclusion

St Andrews promotes equal opportunities as required by the Equality Act 2010. Discrimination or harassment is prohibited.

10. Use Restrictions

  • No activities contrary to Church doctrine.

  • Prohibited: non-Christian religious worship, yoga with spiritual elements, Halloween-themed events, unauthorized marriages.

  • Certain events (alcohol, parties, religious activities) require PCC approval.

11. Complaints, Monitoring & Review

  • Complaints handled per PCC policy.

  • Document reviewed biennially by PCC.

✅ To help reduce administrative costs we may prioritize recurring bookings over one-off rentals. 

⚠    Limited availability - While we can accommodate some recurring bookings, please note that we are preparing for major renovations our buildings. A start date for the renovations is not been confirmed.
